Send a message when an alert is closed

Article summary

The following entitlements are required to make changes to Workflows:

  • Workflows_Update - Create, Update, and Delete Workflows
  • Workflows_View - View existing Workflows

The user roles with access to these integration entitlements are Owner and App Admin.

In this article we will create a workflow which sends an email notification once an alert is closed. 

Create Workflow

  1. Begin on the Workflows page and select the Add Workflow button.  
  2. In the resulting form, enter a Name for the workflow. 
  3. In the Type dropdown choose Alert, and Standard Alert for Alert Type. 
  4. Click Submit to save changes. 

Add Start Condition

  1. Add a Start Condition by clicking the ADD button next to Match All Conditions.   
  2. In the dropdown for Name, select AlertStatus, 'Closed' as the value, and 'is' for the operator. 
  3. Click the green checkmark to save.   

Add Actions

  1. In the Actions section, click the Add Action button, then select SendMessage from the dropdown.   
  2. In the resultant dialog box select an Escalation Policy to govern the routing of the update message. 
  3. Choose the recipient with either the pre-defined selections or enter the user or group manually.  For instance, “Send to Original Recipients” will deliver to each User who was initially notified of the alert.  Users or Groups not in the original thread (such as a managers group) may be designated in the fields below.  You may make multiple selections and entries. 
  4. In the Message Text box, you can craft the body of the message using static text and/or keywords from the list.  
  5. Save the changes to the Action, and this will update the Workflow. 

Add Workflow to Escalation Policy

  1. To add the Workflow to an Escalation Rule, ensure the Workflow is Enabled by checking the enabled box in the top right corner of the page. 
  2. Select Configuration from the main menu and select Escalation Policy.  
  3. Choose the Escalation policy you want associated with this workflow. 
  4. Expand the Automation tab and click the Add Workflow button. 
  5. In the resulting dialog, select your Workflow (it must be enabled to be present here) and press the arrow button to move it to the Selected Workflows list. 
  6. Press Submit to update the Escalation Policy with the new Workflow. 
Note that the Escalation Policy for the Action must be independent of the Escalation Policy this Workflow is applied to (e.g. This Workflow cannot be applied to the “Email msg on alert update” rule, as that rule was chosen to govern the delivery of the update within the Workflow).  Any Escalation Rule already used in a Workflow cannot have additional Workflows applied, and the Add Workflow button will be greyed out.
