Send a message when an alert is assigned

Article summary

The following entitlements are required to make changes to Workflows:

  • Workflows_Update - Create, Update, and Delete Workflows
  • Workflows_View - View existing Workflows

The user roles with access to these integration entitlements are Owner and App Admin.

In this example, we will create a workflow where a message is sent once an alert is assigned. 

Create Workflow

  1. Begin on the Workflows page and select the Add Workflow button.   
  2. In the resulting form, enter a Name for the workflow, in the Type drop down choose Alert. Leave the Template as Standard Alert and click Submit to save changes. 

Add Start Conditions

  1. Once saved, you can add Start Conditions to this workflow. Scroll down to Start Conditions. In this example we will use Match All Conditions.  
  2. Click the ADD button next to Match All Conditions.  
  3. In the dropdown for Name, select AlertStatus. Select Assigned as the Value and press the green checkmark to save. 

Add Actions

  1. Scroll down to Actions, press Add Action.  From the Action dropdown select SendMessage. 
  2. In the resultant dialogue box, select an Escalation Policy to govern the routing of the update message, then choose the recipient with either the pre-defined selections or enter the user or group manually.  For instance, “Send To Original Recipients” will deliver to each User who was initially notified of the alert.  
  3. In the Message Text box, you can craft the body of the message using static text and/or keywords from the list.  Save the changes to the Action, and this will update the Workflow. 

Add Workflow to Escalation Policy

  1. Ensure this new Workflow is Enabled before the next step. 
  2. Select Escalation Policies from Configurations on the main menu. 
  3. Choose the Escalation Policy you want associated with the workflow. Note that the Escalation Policy for the Action must be independent of the Escalation Policy this Workflow is applied to (e.g. This Workflow cannot be applied to the “Email msg on alert update” rule, as that rule was chosen to govern the delivery of the update within the Workflow).  Any Escalation Policy already used in a Workflow cannot have additional Workflows applied, and the Add Workflow button will be greyed out. 
  4. Expand the Automation tab and click the Add Workflow button.   
  5. In the resulting dialog, select your Workflow (it must be enabled to be present here) and press the arrow button to move it to the Selected Workflows list. 
  6. Click Submit to save the new Workflow to the Escalation Policy.
