Send a message using HTML

Article summary

The following entitlements are required to make changes to Workflows:

  • Workflows_Update - Create, Update, and Delete Workflows
  • Workflows_View - View existing Workflows

The user roles with access to these integration entitlements are Owner and App Admin.

Create Workflow

  1. From Configuration on the main menu, select Workflows. 
  2. Click the Add Workflow button.  
  3. In the resulting form, enter a Name for this workflow. For Type choose Alert and for Alert Type choose Standard Alert.   
  4. Click Submit to save changes. 

Add Start Condition

  1. Once saved, scroll down to the Start Conditions section.  Click Add next to Match All Conditions.  
  2. In this example we will send a message when the alert is opened so in the dropdown for Name, select AlertStatus. Set "is" as the Operator and "Open" as the Value and press the green checkmark to save. 

Add Actions

Note: Care should be taken when selecting contact methods in the Escalation Policy, as systems such as Phone or SMS may not present HTML as expected.  Always test before going live.

  1. Scroll further down to the Actions section and click Add Action. 
  2. From the dialog box select SendMessage as the action. 
  3. Select an Escalation Policy to govern the routing of the update message. 
  4. Choose the recipient with either the pre-defined selections or enter the user or group manually.  For instance, “Send To Original Recipients” will deliver to each User who was initially notified of the alert.  Users or Groups not in the original thread (such as a managers group) may be designated in the fields below.  You may make multiple selections and entries. 
  5. In the Message Text box, you can craft the body of the message using HTML and keywords from the list.  Alternately, compose the message in an external HTML editor and paste the raw HTML in the Message Text.  The text will be converted when saved.   
  6. Save the changes by clicking the submit button. This will update the Workflow.  

Add Workflow to Escalation Policy

  1. Ensure the new Workflow is Enabled by checking the enabled box in the right-hand side in the Settings section. 
  2. Select Escalation Policies from Configuration on the main menu. 
  3. Click the Escalation Policy you want associated with the new workflow. Note that the Escalation Rule for the Action must be independent of the Escalation Rule this Workflow is applied to (e.g. This Workflow cannot be applied to the “Message on Alert Creation” rule, as that rule was chosen to govern the delivery of the update within the Workflow).  Any Escalation Rule already used in a Workflow cannot have additional Workflows applied, and the Add Workflow button will be greyed out. 
  4. Expand the Automations tab and click the Add Workflow button.   
  5. In the resulting dialog, select your Workflow (it must be enabled to be present here) and press the arrow button to move it to the Selected Workflows list and click Submit.

HTML offers considerable formatting options to improve readability, and when combined with static and dynamic fields messages can deliver more detail in a useful fashion.  Note: In this example, the Escalation Rule used in the Workflow was modified to remove the action buttons on the message to the Managers.
