Send a message to a specific user or group when an alert is created

The user roles with access to these integration entitlements are Owner and App Admin.

In some instances, you may need to create a workflow where a message is sent to a specific user or group once an alert is created. In this article we will explain how to set up the workflow start conditions and actions, as well as how to associate the workflow with an escalation policy.

Create Workflow  

  1. Navigate to Configuration and select Workflows.
  2. Click Add Workflow
  3. In the resulting form, enter a Name for the workflow, in the Type drop down choose Alert. Leave the Template as Standard Alert. Click Submit to save changes.

Add Start Condition

  1. Scroll down to Start Conditions and click Add Start Condition. For this example, we will use Match All Conditions.  
  2. In the dropdown for Name, select AlertStatus, is for the operator, and select Open as the Value.  
  3.  Click the green checkmark to save.

Add Action

  1. Under Actions, click the Add Action button.
  2. Select SendMessage as the action. This will produce a dialog box.
  3. Select an Escalation Policy to govern the routing of the update message,
  4. Choose the recipient.  In this example, we will be choosing specific recipients. Users or Groups must already exist to be selected here.    
  5. In the Message Text box, you can craft the body of the message using static text and/or keywords from the list.  
  6. Submit the Action, and this will update the Workflow.  

Add Workflow to an Escalation Policy

  1.  Ensure the new Workflow is Enabled by clicking the update button and checking the Enabled box before clicking the green check. 
  2. To add the Workflow to the Escalation Policy, navigate to Configurations and select Escalation Policies.
  3. Choose an Escalation Policy and expand the Automation tab.

Note that the Escalation Policy used in the Action must be a different Escalation Policy than the one this Workflow is applied to (e.g. This Workflow cannot be applied to the “Message on Alert Creation” Policy, as that policy was chosen to govern the delivery of the update within the Workflow).  Any Escalation Policy used in a Workflow cannot have additional Workflows applied, and the Add Workflow button will be greyed out.

4. Press the Add Workflow button.  In the resulting dialog, select your Workflow (it must be enabled to be present here) and press the arrow button to move it to the Selected Workflows list.

5. Press Submit and the new Workflow is added to the Escalation Rule and saved.
